Turning a clock-in and clock-out into accurate paid hours and gross pay is the core of any timesheet, and small errors compound across a pay period. This calculator handles the time math, deducts an unpaid break, and multiplies by your hourly rate in one step.
How it works
Clock-out minus clock-in, less the unpaid break, gives paid time; times the rate gives gross pay.
Clock-out minus clock-in gives the time on the clock; if the clock-out is earlier than the clock-in, the calculator assumes an overnight shift and adds 24 hours. The unpaid break in minutes is then subtracted to give paid time, which never drops below zero.
Paid time is reported as hours and minutes and as decimal hours, and gross pay is decimal hours multiplied by the hourly rate. This gross figure is before taxes and other deductions.
Paid minutes = (clock-out − clock-in, +24h if overnight) − unpaid break. Decimal hours = paid minutes ÷ 60. Gross pay = decimal hours × hourly rate.
Worked examples
Clock in 8:00, clock out 16:30, 30-minute unpaid break, $20 per hour. → 8 hr 0 min paid (8.00 decimal hours), $160.00 gross
8:00 to 16:30 is 510 minutes; subtracting the 30-minute break leaves 480 minutes, or 8.00 hours at $20.
Clock in 22:00, clock out 06:30, 60-minute break, $18 per hour. → 7 hr 30 min paid (7.50 decimal hours), $135.00 gross
The overnight span is 8.5 hours; minus a 1-hour break gives 7.5 paid hours at $18.
Tips & gotchas
- Enter all times in 24-hour format, so 4:30 PM is hour 16, minute 30.
- Set the unpaid break to 0 if your breaks are paid; only deduct time you are not paid for.
- Gross pay is before taxes, withholding, and benefits; your take-home pay will be lower.
- An overnight shift works correctly here because a clock-out earlier than the clock-in rolls into the next day.
- This figures one shift at standard rate; add overtime or multiple days separately if your rules require it.
FAQ
How do I enter an overnight shift?
Just enter the real clock-in and clock-out times. If the clock-out hour is earlier than the clock-in hour, the calculator adds 24 hours so the shift is measured across midnight.
Is the break time paid or unpaid?
The break field is for unpaid time and is subtracted from your hours. If your break is paid, enter 0.
Does the gross pay include overtime or taxes?
No. It is straight-time pay (hours times rate) before any taxes or deductions, and it does not apply overtime multipliers.
